This page walks through the client side of online payments so you can answer client questions. Clients pay from your portal after they sign in. They cannot pay from an email link without signing in.
Before you start
- Online payments must be turned on, with QuickBooks Payments connected. See Turn on online payments.
- The client needs an account in your portal. See Invite clients to your portal.
- Only invoices that have synced appear. See How QuickBooks data syncs.
The invoice list
In the client portal sidebar the client opens QuickBooks Online Invoicing. The page lists their invoices with Invoice #, Date, Due Date, Total, Paid and Balance. Paid invoices carry a PAID tag.
- Search finds an invoice by number. Status filters to All Invoices, Unpaid Only or Paid Only.
- Clicking an invoice number opens its lines.
- Export CSV downloads the invoices for a date range. Invoices cannot be downloaded as PDFs.
Paying
- On unpaid invoices, a Pay column has a box on each row. The client ticks the invoices to pay, or ticks Select all unpaid.
- The header shows how many are selected and the Total. The client clicks Pay Selected (N).
- The payment form opens, titled Make a payment. Above the title it shows your logo, or your organization's name if you have not uploaded one. Payment Summary shows the invoice amount, a Convenience Fee line with its percentage when you charge one, and Total Amount.
- Under Payment Method the client chooses Credit Card or Bank Transfer (ACH). Only the methods you turned on appear.
- For a card they enter Card Number, Month, Year, CVC and Cardholder Name. For a bank transfer they enter Routing Number, Account Number, Account Type (Checking or Savings) and Account Holder Name.
- They fill in Billing Information (email, phone and address) and click Pay $ followed by the total.
- Payment Successful appears with a Back to Invoices button.

Each selected invoice is paid in full. Clients cannot enter a partial amount.
The payment form carries your brand, not ClientSynq's:
- Your logo, or your organization's name, at the top. The Pay $ button uses your primary color. The logo and color need custom branding (Pro or Enterprise); without it the form shows your name and the default button color. See Add your logo and colors.
- The same footer as your client portal, with Portal terms, Privacy and a Support link that emails your client support email address when you have set one. See Set your client portal links.
- With your own domain active, the form opens on your hostname. See Use your own domain for the client portal.
After paying
- The client's Payments page (Payment History) lists each payment with its date, amount, status, payment method and invoices.
- A card payment shows Paid.
- A bank transfer shows "Pending until your bank clears it, typically 3–5 business days" until it clears, then Paid.
- If a bank transfer fails, the client receives an email and the invoice is open again.
Good to know
- Clients cannot save a card or bank account for next time.
