Filter, share and export a report

Enterprise plan

Every Library report uses the same controls: a toolbar, a View section and a Filters section. This article covers the parts they share. The report articles list which controls each report has.

Before you start

  • You need the Library (Enterprise plan) and the View Analytics Dashboard permission. See Find your way around the Library.
  • Your settings for each report are saved to your account as you change them, so the report looks the same next time and on another device.

Choose a date range

  1. Expand the report.
  2. In View, open Date range and choose a preset.
  3. For Custom range…, enter the From and to dates, then click Refresh (or press Enter). Refresh stays greyed out until the dates change and the start is on or before the end.

Most reports offer these presets:

Last Month The whole previous month
Year to Date January 1 to today
This Year January 1 to December 31 of this year
Last Year The whole previous year
Last 12 Months The first day of the month 11 months ago to today (food access reports only)
All Time January 1, 2010 to today
Custom range… The dates you enter

Outstanding Invoices uses Last 7 days, Last 30 days, Last 60 days, Last 90 days and Custom range…, counted by invoice date with today included.

A saved preset moves with the calendar: "Year to Date" is always this year to today.

Step through periods on a tile

Tiles have small period tokens at the top right instead of a date range, for example Week, Month and Year.

  • Click a token to switch to the current week, month or year. The current period counts to today.
  • The label at the top left says exactly what is shown, such as "Week of Sep 21", "September 2026" or "2026".
  • Use the arrows beside the label to step to the previous or next period. You cannot step past today or before 2010.
  • Some tokens, such as 30d and 90d on the Occupancy tile, show a fixed label with no arrows.
  • Click the tile's figures, or Open report, to open the full report for the same period and markets.

Filter the rows

The Filters section has one row per filter: a label, a drop-down and the current choices as chips beside it.

  1. Open a filter, such as Market or Vendor type. Long lists have a Search… box, Select All and Clear.
  2. Tick the values you want. With nothing ticked the filter shows "All markets" (or similar) and includes everything.
  3. Remove one value by clicking the × on its chip.
  4. Click Reset all at the right of the Filters heading to clear every filter and return the exclusions to their defaults.

Vendor reports also have:

  • include other products sold beside Product category: also match vendors that list the category among their other products, not only as their main one.
  • Classify by current attributes in the Filters heading. Off (the default), each sale counts under the vendor type, category and certifications the vendor had on the sale date. On, the vendor's whole history counts under what the vendor is today.

Exclude days

Reports built on market days have two extra filters, Weather and Events and holidays. They remove whole days from the figures.

  1. Open Events and holidays or Weather.
  2. Use the Excl. / Only switch inside the control:
    • Excl. removes the days you tick.
    • Only keeps just the days you tick.
  3. Tick event categories (each shows how many days are tagged), weather bands or weather tags.

Each active exclusion shows as an amber chip, for example "Excluding: Holidays (4 days)". The count is how many days or vendor-days it removed from this report. Hover a chip for details; click its × to turn it off. Nothing is ever excluded without a chip.

Good to know about exclusions:

  • Event categories marked as excluded by default start switched on. You can turn them off.
  • Exclusions are shared across the Library. Turn one on in one report and it applies to every report on the page that uses exclusions.
  • Exclude above P… on the Sales Distribution report adds a percentile exclusion. Its chip then appears on every report that uses vendor sales.
  • Some reports have Presets in the Filters heading. Type a name in Save current as… and click Save to keep the current exclusions; pick a preset later to apply it again.

Look behind a number

In most tables, numbers with a dotted underline open the lines behind them.

  1. Click the number. A window lists the invoice lines, vendor-days or invoices behind it.
  2. The summary shows how many lines there are and a badge that says matches the cell when they add up to the number you clicked.
  3. Click a column heading to sort. Click an invoice number to open it in QuickBooks Online.
  4. Click Copy as CSV to copy the list, or Export CSV to download every line.

When a list is long, the window shows the first lines only and says to use Export CSV for all of them.

  1. Set up the report the way you want it.
  2. Click Copy link in the toolbar. It changes to Copied.
  3. Paste the link in an email or message.

The link opens the Library with that report expanded and scrolled into view, with the same date range, rows and filters. Your own saved settings are not changed. The person who opens it sees Opened from a link. and can click Back to my saved view. Their first change makes the linked view their own.

Things to know about links:

  • Exclusions are not part of the link. The person sees the report with their own exclusions.
  • The person needs access to the same report. If their role cannot see it, the Library says "This report is not available to your role."
  • A link to a saved tile opens its report with the tile's filters. If the tile was deleted, the Library says "That saved tile no longer exists."

Export to CSV

  1. Click Export CSV in the report's toolbar.
  2. The file downloads with the report name and today's date in its name.

The CSV starts with a block that records how the report was run: the report name, when it was generated, the date range, rows, every filter, the active exclusions and what each removed, and where the data comes from. The table follows.

Food Access Currency Redemptions has two choices under Export CSV:

  • Export current view: the table exactly as displayed.
  • Export underlying data: every transaction line behind the numbers.
